JOB PURPOSE STATEMENT
The Assistant Registrar position manages the Information Systems required by the Office of the Registrar, as well as, managing the Support Staff.
This position oversees the areas of Program Advising Requirements, Ohio Department of Higher Education Transfer Initiatives, National Student Clearinghouse Reporting, Course Catalog, and Graduation/Commencement.
This position ensures adherence to University, State, and Federal policies.
The Assistant Registrar represents the Office of the Registrar/Registrar as needed.
Principal Duties and Responsibilities FUNCTIONS Provides strategic oversight and management of hourly Support Staff Managing infrastructure, processes, and technology University, State, and Federal Policy Compliance Represents Registrar and provides administrative support as needed in absence PRINCIPAL DUTIES AND RESPONSIBILITIES Provides strategic oversight and management of hourly Support Staff.
Directs and supervises hourly staff in uses of technology in the day-to-day operations within the Office of the Registrar.
Sets appropriate job priorities/goals: analyzes workload & flow; monitors quality service; identifies/implements improvements; keeps University Registrar and Vice President of Academic and Student Affairs/Provost informed on status and results of assigned projects.
Manages and supervises support staff; and, coordinates and evaluates service delivery to students and staff.
Provides various statistical data and reports on demand to all levels of administration relating to students, enrollment, facilities, faculty, and subsidy.
Supervises hourly support staff relating to facility scheduling.
Managing infrastructure & processes and technology.
Provide technical support, programming, and training for the current student information system.
Coordinates processing with Admissions, Financial Aid, and Bursar.
Performs daily maintenance to insure accuracy and availability of systems and data.
Student web registration, Performs daily maintenance to insure accuracy and availability of systems.
Determines permission level rights/provides access, training, and technical support for student and non-student data systems to other university staff.
Researches, evaluates, recommends and implements new technologies in the Office of the Registrar to improve processes and services to students and staff.
Serves as main point of contact and liaison with colleges and departments; investigates and resolves escalated questions and concerns; coordinates relationships between University Registrar and other student service areas including Financial Aid, Admissions, Bursar, and the Student Business Center.
Manages the annual review/edit process of the university catalog.
Coordinates the work of academic scheduling.
Manages academic course scheduling each term in regards to facilities/classroom usage.
Serves as liaison to National Student Clearinghouse for enrollment and degree verification.
Provides programming support.
Maintains accuracy of reporting.
University, State, and Federal Policy Compliance.
Coordinates Ohio Department of Higher Education statewide initiatives for campus.
Coordinates and administers processing of transfer credit evaluation, including TAGS, CTAGS, MTAGS, Ohio Transfer 36 (formerly OTM, Ohio Transfer Module) PLA (Prior Learning Assessments), Transferology, military credits, and other forms of transfer credit.
Oversight of Prior Learning Assessment, including transfer credit, military credit, and AP credit.
Processes end of term procedures and manages notification for academic probation, suspension, Dean's and President's List.
Makes recommendation for policy and procedure revisions.
Involvement in state organizations to include Ohio Articulation and Transfer Network (OATN) and Ohio Association of Collegiate Registrars and Admission Officers (OACRAO).
Represents Registrar and provides administrative support as needed in absence.
Represents the Registrar in their absence or upon request.
Provides administrative support on behalf of the Registrar in their absence as needed.
Minimum Job Knowledge, Skills and Abilities MINIMUM JOB KNOWLEDGE, SKILLS, AND ABILITIES 1.
Approximately 2 to 4 years prior related work experience with at least 2 years in a management/supervisory capacity needed to gain management skills and knowledge of the field.
2.
Strong interpersonal and communication skills are needed to interact with students, faculty, and staff in resolving sensitive issues, and to effectively lead staff.
3.
Analytical Skills needed to design, implement, and revise department systems and to prepare analytical reports as requested.
4.
Experience in relational database management systems, and Microsoft Office (Access, Excel, and Word).
5.
Knowledge of counseling theories and practices as normally acquired through a Master's degree in a related field.
6.
Knowledge of best practices in the field, including current regulatory requirements, and attention to detail.
7.
Ability to adapt and deploy rapidly changing technologies and the use of operating systems for data management, analysis, and retrieval.
8.
Supervisory skills to include hiring, coaching, and evaluating.
9.
Long and short-range planning; development of measurable performance objectives.
